1. Breakdown your Initiative into Smaller Work Items.
There are a few ways to create a work breakdown of your Initiative.
Drag & Drop the Initiative Card to a desired position on the Team Board. A child card will open -> define its properties -> click on Add card. You can add as many cards as needed to outline your Initiative and the newly created cards will be linked to it.
Drag and Drop an existing card from the Team Board and attach it to the Initiative in the Portfolio swimlane via the "Link the card as a child" function. Using this option you can select multiple cards and link them in bulk to the Initiative you have created.
Open the Links tab of the Initiative and select one of the three preview options at the top right side of the Initiative Panel:
A. Board view - to display all results in a Kanban board view. /Image 1/
B. Table view - to display all linked cards (if any) as a list in the panel. /Image 2/
C. Graph view - to see the graphical representation of the cards’ connection (if any)./Image 3/ ______________________________________________________________________________
A: Board View Mode
Open up the Initiative's Link tab and select the Board view mode to display all results i.e. the Initiative and all linked cards (if any) in a Kanban board view /see the image below).
For better visibility, the Initiative, which Link's tab you have opened is colored in yellow. If there are any cards linked to it, they will be visible too as per their current progress status (requested; in progress or done).
The Links panel helps you to create new linked cards that will be related to the Initiative - these cards will be physically present on the boards once you complete the action.
The aim of the Links tab is to facilitate the breakdown process of your work via the "Create New link" functionality*.
Moreover, from the "Create New link", you can connect the Initiative to an existing card in the system.**
* Use the "Create new link" drop-down menu - select the relation you want to define (child/parent/relative/predecessor/successor) -> the system will prompt you to first locate the newly created card on the Kanban mini board panel that will appear (define the board and the card position) -> fill in the card properties and create the card.
** Use the last option in the dropdown list "Link to existing card" to connect the yellow card with an already existing card in the system.
B: Table View mode
Open up the Initiative Links tab - >select the Table view mode to display all cards (if any) linked to the Initiative as a list in the panel. Use the "Configure Results" button to extend the data you get for the cards - you can easily add: description, tad, size, etc -> just select the pills from the configuration panel and Apply your changes.
Use the "Create new link" drop-down menu to create a new linked card or link the Initiative to an existing card in the system
C: Graph View Mode
Open up the Initiative Links tab - > select the Graph view mode to see the graphical representation of the cards’ connection (if any).
Use the "Create new link" drop-down menu to create a new linked card or link it to an existing card in the system
The Related Boards Feature
The Related Boards feature can be activated from the board settings (grid) icon at the top right side of your board interface. Its main purpose is to facilitate the breakdown process of your work across multiple boards. Upon feature activation, the system prompts you to select related boards and provides a bird's-eye view of your boards' network.
For example: if you activate the Related Boards feature from your Strategic Board, you will be able to easily relate that board with the management and operation boards (Marketing Board; Development Board) in your account. As a result, all related boards will show up in the right panel, allowing you to create new linked cards between the Initiatives on the current board ("Strategic board") and the related boards as well as to track their progress from a centralized spot.
To create a new linked card, drag & drop an Initiative from the "Strategic Board" board to the related board representation and use the "Create new linked card" option to poisiton the card and fill in the relevant infomration.
Select a card (ctrl+click) on the "Strategic" board to apply a filter and see only related cards.
To learn more about the Related boards' functionality, see the dedicated article about Portfolio Kanban Related Boards.
2. How to Convert an Initiative into a Card?
If at some point, you decide that your Initiative is not classified as such or it is not big enough to be an Initiative, you can very easily convert it into a card on the Team Board, preserving all linked cards -> Press the CTRL. key and drag & drop the Initiative to your Team Board and "Convert the Initiative to a card".
To make the linked cards visible on the closed card view (just like in the image below)-> go to the Grid Menu (at the upper right corner of your board interface)-> select Configure Card View -> checkmark Show links (one per row).
In the next dedicated article, you can learn how to filter your board by the child cards linked to an Initiative.
