This article aims to show how to:
- link an initiative to existing cards in the system.
- break down an Initiative into smaller work items.
There are several ways to achieve this in the system.
To break down an Initiative:
Create an Initiative and then drag & drop it to the Cards Workflow.
A child card will open -> define its properties -> click on Add card. You can add as many cards as needed to outline your Initiative. Each child card that you have created is represented by a colored rectangle on the Initiative card and every rectangle holds details for the child card (on hover).
Drag and Drop an existing card from the Cards Workflow and attach it to the Initiative in the Initiative Workflow lane via the "Link the card as a child" function.
Using this option you can select multiple cards and link them in bulk to the Initiative you have created.
Click on the plus sign of the initiative to create a new child card. Use the mini Boardmap to define the position of the child card. You are not limited on the number of child cards that you can create.
Open the Initiative and use the Links Overview menu to link existing cards and set up a relation between them.
Use the plus icon (+) to link the Initiative as a Child; Parent; Relative; Predecessor or Successor. Just select the type of connection and enter a card ID or a Title to refer to an existing card in the system and link them -> Create a link.
Use the LINKS tab of the Initiative
The Links tab of the Initiative can be configured to display the cards in three different modes:
1) Board View
2) Table View
3) Graph View
- 1. The Board View (img.1)
Open the Links tab of the Initiative and select the Board View mode - it displays the results in a Kanban board view.
For better visibility, the Initiative, which Link's tab you have opened is colored in yellow and is positioned on the Portfolio lane.
If there are any cards, linked to it (so far) on the same board, they will be also visible in accordance with their current progress status (backlog; requested; in progress; done).
In the example below, the yellow card is the Initiative and there are two child cards located in the Requested column.
Use the "CREATE NEW LINK" drop-down menu to the top left side of the panel to create a new linked card* or link the currently opened Initiative to an existing card** in the system:
* Select the relation you want to define (child/parent/relative/predecessor/successor) -> the system will prompt you to first locate the newly created card on the Kanban mini board panel that will appear (define the board and the card position) -> fill in the card properties and create the card.
** Use the last option in the dropdown list "Link to existing card" to connect the yellow card with an already existing card in the system.
TIP 1: Drag the Initiative across the board view to instantly create new linked cards.
TIP 2: Moreover, using Ctrl + drag and overlap cards will allow you to create further dependencies between the cards that are linked to the Initiative.
For example, you can create a successor/predecessor relation between the two child cards directly from the Board view mode.
- 2. The Table View (img.2)
Open up the Initiative Links tab - >select the Table view mode to display all cards (if any) linked to the Initiative as a list in the panel. Use the "Configure Results" button to extend the data you get for the cards - you can easily add: description, tad, size, etc -> just select the pills from the configuration panel and Apply your changes.
Use the "Create new link" drop-down menu to create a new linked card or link the Initiative to an existing card in the system
- 3. Graph View Mode (img.3)
Open up the Initiative Links tab - > select the Graph view mode to see the graphical representation of the cards’ connection (if any).
Use the "Create new link" drop-down menu to create a new linked card or link it to an existing card in the system
Use the Related Boards Feature
The Related Boards feature can be activated from the board sidebar.
Its main purpose is to facilitate the breakdown process of your work across multiple boards.
Upon feature activation, the system prompts you to select related boards and provides a bird's-eye view of your boards' network.
As a result, all related boards that you have selected will show up in the right panel, allowing you to create new linked cards between the Initiatives on the current board and the related boards as well as to track their progress from a centralized spot.
To create a new linked card, drag & drop an Initiative to the related board representation and use the "Create new linked card" option to position the card -> fill in the relevant information and Add the card.
