1. How to create Subtasks?
In Kanbanize, there are several levels of making a breakdown, which makes the view of the tasks more complex. Creating subtasks is the simplest one. The subtask could be considered as an element of completing a larger task.
Subtasks are created at a card/task level and there are two ways to create them.
1. 1 Open the card -> go to the Subtask tab.
Opening the Subtask tab, users can write, post and assign newly created subtasks.
Write the subtask in the text box field → use CTRL + ENTER or "Add subtask" button to add it to the card. You can assign the subtask to a registered user → select the name from the dropdown list. The subtask assignee can be different from the card assignee (assigning subtasks is optional).
You can also attach a file to your subtask by clicking on Add file and uploading a file from your computer or a cloud storage.
Note: The system allows you to add multiple subtasks to a card.
The subtasks appear as a checklist at the upper side of the panel. When a user completes a task, they have to tick it off to indicate their work progress and to proceed further to the next subtask.
2. How to make your subtasks visible at the closed card preview?
2.1 There is a way to configure your card view and make the subtasks visible at the closed card view (Image 1*).
*The subtasks of Card ID:1547 Title: New Market Research are as follows
- Primary Research
- Secondary Research
- Generate a summary Report
Two out of the three subtasks are check marked i.e. completed.
To make your subtasks visible, go to the Grid menu at the top right side of your board interface ->select Configure Card View.
A new configuration panel opens -> select "Show Subtasks" -> "One per Row".
If you want to apply the specified card settings to all users assigned to the current board → mark the Apply for all users checkbox. This won’t restrict the users to configure their own card settings and deselect the subtasks if they are not applicable to their working process.
To save your new card design –> select Save card view and refresh your browser to see the changes reflected.
2.2 Once you configure your card view and make the subtasks explicit ->the system allows you to quickly create new subtasks, without opening the card and respectively the Subtasks Tab.
Just fill in the text in the "New subtask" text box that appears at the bottom of the card and click Enter to add it.
3. How to edit a subtask?
To edit a subtask ->open up the Subtask tab -> right click on the subtask itself or click on the subtask settings menu (the dotted icon) at the top right side of the subtask -> select Edit subtask. Insert your changes -> click on the green checkmark sign at the top right of the subtask field to save the changes
Shortcut: just click over the subtasks at the closed card preview to open the Subtask tab -> right click on the subtask that you want to edit -> Edit subtask ->make your changes and use ctrl+enter to save them.
If you want to delete a subtask -> use the same navigation and select "Delete subtask".
4. How to mention a user in the subtask?
Users can be mentioned in both new and already existing subtasks. Just type in "@" in the subtask field -> and select a username from the suggested list of users in the account.
Create your message and the system will notify the user and bring his/her attention to your message and that particular subtask.
You can also mention a user during a quick subtask creation from the card closed preview.
Note: Using this option, the username should be typed in manually as the auto-complete list of users in the account will not be generated.
