Every Kanban card has an Assignee field that produces a dropdown list with the team members assigned to the respective board. You have to select a team member to assign the task.
This gives an overview of who is doing what on the board.
Moreover, when assigning the tasks, you can make use of the Board filter to display all the cards assigned to you or a team member. In addition, assigning cards facilitates further reporting via the Advanced search Panel.
The list of assignees is conveniently divided into two groups: Recent Users and Other Users.
The Recent Users list contains the most relevant and active users on the current workflow.
This is very helpful as every workflow contains a different type of work and it is very likely that the assignees per workflow might be different. The separation helps you browse through a shorter list with the most relevant potential assignees. The Other Users list contains the rest of the team members.
1. How to assign a user?
There are several ways to assign a user to a card:
Option 1: Assign a user from the None (name) field of the card closed view
If a card is not assigned upon card creation -> click on the None field at the top right side of the card to open a drop-down menu with all users in the board -> select the username.
For convenience, your username always appears as a second choice. You can also use the filter to shorten the list.
Option 2: Assign a User from the card Context Menu
Open the card Context menu and select Assignee. The system produces a drop-down menu with the list of all users assigned to the respective board. Select the user that you want to assign to the card and their name will replace "None".
Option 3: Assign a user from the Card Details
Open the card and click on the Assignee field to get the drop-down menu with the users assigned to the board. Select the user that you want to assign to the card and update it.
3. Is it possible to assign multiple users to a single card?
The default Assignee field of the card allows only single user selection (1). This user becomes the owner of the task.
The system allows you to add more card participants/contributors, only if you create a custom field of type: "Contributor" and add it to the card. This custom filed will produce a dropdown of the users assigned to the board (2). Select a user to make him "Contributor" or "Second assignee".
To create the Second Assignee filed on the card -> you have to add a custom field of type Contributor (follow the link to find a step by step tutorial on how to „Manage Custom Fields“).
Note: When you add custom fields to a Kanban board, they appear as choices in the Custom field section of each task. In case the custom field is not mandatory -> click on Add Field -> select the custom field and it will appear on the card.
