1. Types of Archives
To keep your board from getting cluttered, you can move all completed tasks from the "Done" column into the "Archive" column.
There are two types of Archive:
- Temporary Archive
- Permanent Archive.
The Temporary Archive is a column on the board where you keep completed tasks for a certain period of time (e.g. a month). After that time period expires, it is recommended from a functional and performance point of view to move the cards to the Permanent Archive.
Important: The items in the Permanent archive are zipped up and they can be restored anytime if needed.
2. How to move cards to the Temporary Archive?
There are a few ways to move cards to the Temporary Archive.
2.1 Drag out a rectangle to select multiple cards -> drop them to the Temporary Archive.
2.2 Move cards to the temporary archive from the Context menu.
- There is a short way to permanently archive cards from the "Done" column.
When a card is in the Done column -> open the context menu and select Archive ->confirm the action by clicking on Archive Cards. The card will be moved to the Permanent Archive.
Using this option, you can select multiple cards and permanently archive them.
2.3 Select multiple cards in the "Done" column -> right click to open the context menu -> click on Move. Choose Right and the cards will be moved to the "Tempоrary Archive" column as this is the first column next to "Done".
2.4 Move cards to the Temporary Archive from the Card Details.
Open the card details and change the Card Position/Column to Archive -> Click on Update Card. The card will be moved to the Temporary Archive.
Note: This way you can only move cards one by one.
3. How to Move Cards from the Temporary Archive to the Permanent Archive?
After a certain period of time, it is recommended to move the cards from the Temporary Archive to the Permanent Archive.
Open the Temporary Archive -> click on the button Permanently archive cards button.
You can either choose to permanently archive all cards from the Tempоrary Archive or select only certain cards to be archived. Confirm the action by clicking on Archive Cards.
4. How to create versions of your archived cards for a better history tracking?
The system allows you to group together the cards you want to archive and save them together under a Category name. To achieve that, select the "Create a version" option at the top left side of the panel.
(1)You can archive as a category all cards, which are related to Project A -> Create a version -> name it Project A. In perspective, this will help you to easily refer to the cards from Project A.
(2) You can archive all cards for a certain period of time (e.g. one month- tasks from April) to create a better history order/chronology of your archive.
5. How to see cards from the Permanent Archive?
To see the cards that you have archived and/or the versions that have been created -> use the Show Permanent Archive icon to open the Archive storage place.
This panel has two main tabs on the top:
- Permanent Cards archive
- Browse versions
- The Permanent Cards archive tab provides a list of all archived tasks. (Image 1)
It allows you to define the range of time for which you want to see the archived cards. Select the From/To dates from the calendar picker -> click on Search to generate the results.
The Browse Version tab provides a list of all tasks archived in groups. (Image 2)
Click on the plus icon to see all cards that belong to a certain category name.
6. How to Unarchive Cards?
Via the Unarchive card button to the right of the card in the Archive storage place, you can unarchive a given card and bring it back to the "Temporary Archive" column of the corresponding board.
