1. Introduction to the Portfolio lane
The Portfolio lane is an additional swimlane on your board, where you can visualize your initiatives and track their progress. An initiative is a bigger task or a project which you need to break down into smaller work items in order to complete. An Initiative could be a Project/Feature/Epic story, etc. The small tasks, which represent the deliverables are linked to the Initiative as child cards. They are located on the Team Board level and they are executed by the Team.
2. How does the Portfolio lane work?
When you move a child card, which has been linked to an Initiative in the Portfolio Lane, to the "In Progress" column on the Team Board, the Initiative card will automatically move to "In Progress" in the Portfolio Lane.
Each Initiative has a progress indicator that shows the percentage of the completed cards. When all child cards, linked to the Initiative are moved to "Done" on the Team Board, the Initiative progress indicator will become 100% and the Initiative card will automatically move to "Done" in the Portfolio Lane.
In case that a child card is blocked, the Initiative card will be blocked/colored in red too, so the Project manager should take actions to unblock it.
Each child card is represented by a colored rectangle on the Initiative card. Every rectangle holds details for the child card (on hover). The color stands for the current card position in the Team board workflow:
- if the rectangle is Blue, the child card is "In Requested" column
- if the rectangle is Orange, the child card is "In progress" column
- if the rectangle is green, the child card is in "Done" column
The Cycle time of the Initiative and its deadline (if set) are visible too.
Click on the settings icon to view the details of the Initiative card or to delete it.
3. How to enable the Portfolio lane?
The Portfolio Lane of the board can be activated only by Administrators or by Project Managers by clicking on the Add Portfolio Lane icon at the upper side of the board interface. Once enabled, the Portfolio Lane will be visible for all board members. In case that the Administrator/Project Manager disables the Portfolio Lane by clicking on Disable Portfolio Lane, it won't be visible to the board members at all.
The Portfolio Lane consists of the three main columns "Requested", "In Progress" and "Done".
Note: You cannot edit the structure of the Portfolio Lane by adding additional columns or swimlanes.
4. How to collapse/expand the Portfolio lane?
When an Administrator or Project Manager in the account enables the Portfolio Lane, the system will ask them if regular users will be allowed to collapse/expand it.
Upon confirmation, all users will be able to collapse/expand the Portfolio swimlane from the "-"/"+" sign on the top left side of the lane.
5. How to freeze the Portfolio lane?
Users may want to see their Portfolio lane all the time while working on the board. By freezing it from the pin icon, they will be able to scroll through their board and still see the Portfolio lane. This will improve the overall visibility and will facilitate the "Initiatives to tasks" breakdown process.
